Who is responsible
Syntelum operates RetrievalGate. For privacy requests, contact privacy@syntelum.com. The service is intended for professional users; do not upload information you are not authorised to share.
Information we process
We process account identifiers and email address, the corpus files, evaluation queries and RAG configuration you choose to upload, audit results, product activity and billing status. Stripe processes payment details directly; RetrievalGate does not receive or store your full card number.
Why we use it
We use account and audit data to authenticate you, run the requested audit, display and export your report, operate the service, prevent abuse and support you. We use limited product analytics to understand the funnel and improve the service. We do not use your uploaded corpus or report as advertising content.
Processors and transfers
Supabase provides authentication and private storage. Trigger.dev runs audit jobs. Selected text and queries are sent to the configured embedding and evaluation providers: OpenAI, and where enabled Voyage AI and Cohere. Stripe processes payments, Resend sends transactional email, and PostHog receives limited analytics events. These providers process data only as needed to provide their service.
Retention and deletion
You can remove uploaded source files from the workspace. Completed reports remain associated with the account so that you can revisit the decision. To request deletion of reports or your account data, email privacy@syntelum.com from the account address. We may retain the minimum information needed to meet legal, accounting, fraud-prevention or dispute obligations.
Analytics and cookies
RetrievalGate uses PostHog for page views and explicit product events. Session recording and automatic click capture are disabled. Analytics events do not include corpus text, filenames, queries or report contents. Advertising measurement is optional: when a Google Ads tag is configured, it starts with advertising storage, user-data and personalization consent denied. If you accept advertising cookies, RetrievalGate stores first- and last-touch campaign information and enables measurement of paid clicks and confirmed purchases. You can change this choice through Cookie settings.
Your rights
Depending on applicable law, you may request access, correction, deletion, restriction, objection or portability for personal data. Contact privacy@syntelum.com. You may also have the right to lodge a complaint with the competent data-protection authority.
